Coffee service is the first thing a guest encounters and the most noticed when it runs late. It is not only a question of how many servers, but where they stand, when they start and how they move between tables.
How many you actually need
The practical ratio at UAE events: one server per 40–50 guests during reception, one per 60–70 once guests are seated. Reception needs more because guests arrive almost together.
For a 200-guest event: four to five servers at reception, three afterwards. Fewer means a guest waiting; more means extra movement between tables that clutters the photographs.
Timing comes before the guests
The most common mistake is starting service when the first guest arrives. Coffee is ready half an hour before the announced time, because the first twenty guests usually arrive early.
Once the programme begins — zaffa, ayyala or speeches — service stops completely and resumes afterwards. A server moving during the zaffa appears in every frame.
The route through the hall
Draw the service route before the night: where servers come out, which way they circle, where they return. A clear route means faster service and cleaner photographs. The route never passes in front of the kosha and never crosses the main aisle during an entrance.
What is served with it
Arabic coffee and dates are the base. Luqaimat, karak tea and light sweets are added according to the occasion and its timing; long evening events add tea after the midpoint.
Allow three dates per guest and two cups of coffee — rising to three at condolence majlis settings and long daytime events.
Uniform and appearance
A single uniform makes the service look organised and tells guests who to ask. Agree the colour in advance so it neither clashes with the decor nor disappears into it.
