Many Ramadan requests start with one question that mixes two different things: a place where guests break their fast, and meals delivered to people who are fasting. Separating them at the start saves time on the quotation and avoids an offer that does not fit what you need.
Ordering meals or organising the iftar venue?
Ordering meals means packed meals delivered at a set time and place. What matters: the number of meals, the days, the delivery location, the meal content and dietary requirements, and the packaging. It needs no tent and no seating.
Organising an iftar means setting up the venue itself: a tent, majlis or hall, seating or tables, lighting, hospitality, and how food is served at the call to prayer. What matters: the space, the number of guests per day, the duration and the type of seating.
You may need both, in which case they are quoted as two separate items.
Seating: floor, Arabic majlis or tables
Floor seating suits a family majlis and long evenings after iftar, but it fits a different number in the same space than tables, and it may not suit elderly guests.
Tables and chairs suit larger numbers and quick service at the call to prayer, and make it easier to move between rows.
A mixed layout is common: tables for iftar and an Arabic majlis corner for coffee afterwards. We suggest the layout once we know the number and the space.
Planning the space
Keep a clear entry path that does not run between seated guests. Put preparation and serving behind or beside the majlis, not in the middle of it.
Place dates and water close to the guests so they can break their fast at the call to prayer without waiting for the first round of service.
Think about a space for prayer after iftar, a place for shoes if the majlis is carpeted, and steady lighting that is enough after sunset.
Timing
Iftar follows the maghrib time in your city, which shifts day by day through the month. The venue is ready an agreed time beforehand, and service is arranged so that food reaches everyone close to the call to prayer — which is why the number of servers is set by the headcount and the space.
What to send for a quotation
The venue location and a photo if possible, the days or duration, the expected number per day, the preferred seating, whether power is available nearby, and whether a delivery vehicle can reach the site.
If you are ordering meals: the number of meals, the days, the delivery location and any dietary requirements.
Approvals
If the tent will stand outside the plot boundary, or the iftar or meal distribution is open to the public, the site requirements are checked with the site management and the relevant authority before confirming.
