What usually ruins a wedding night is not missing equipment. Everything arrives, the crew works, but each stage runs an hour late and the zaffa starts while the hall is still half ready. This is a practical timeline built on what actually works in UAE venues, from six months out to the end of the night.

Six months out: the venue first

Book the venue before anything else. Every later decision — kosha size, table count, lighting type, whether you need a tent at all — is built on the venue and its dimensions. Booking decor before the venue usually means a full redesign later.

Fix your approximate guest count at this stage too. The difference between two hundred and four hundred guests is not just chairs; it changes the sound system's capacity, the number of hospitality points, and the timing of the bride's entrance itself.

Peak season in the UAE runs October to March, and Fridays and Saturdays in particular are booked eight months ahead at good venues. If your date falls inside that window, move this step forward by a month or two.

Four months out: decor and photography

Once the venue is confirmed, the kosha, lighting and photographer follow. Ask your decor supplier to visit the venue, or at minimum to work from its measurements and stage plan. A design produced without knowing ceiling height and stage width gets redesigned at the last minute.

Book the photographer at this stage for a practical reason: the strongest photographers in the country work a closed calendar, and booking late means choosing from what is left rather than from the best.

Two months out: hospitality and detail

Drinks, luqaimat, Arabic coffee, servers — all confirmed here. Plan one hospitality point per eighty to a hundred guests; a single point for three hundred guests creates a queue that lasts all night.

The zaffa is decided here as well: is it personalised with the couple's names? A live group or a recording? A personalised zaffa needs at least two weeks for production and review.

Two weeks out: final confirmation

Confirm three things in writing with every supplier: arrival time, setup time, and the name and number of the person responsible on the night itself. Most problems happen because a supplier sent a different crew from the one you met, and it does not know the details.

Ask the venue to confirm when doors open for the setup crew. Some venues do not allow entry more than four hours before the event, which is not enough for a large kosha with lighting.

The wedding day: the decisive hours

Six hours out, kosha and lighting installation begins. Three hours out, tables, chairs and centerpieces are arranged. Two hours out, lighting and sound are tested in full — do not postpone the test, because any fault needs time to fix.

One hour out, hospitality points are prepared; half an hour out, the reception team is in position. The bride's entrance is timed precisely: the walkway route, the photographer's position, the lighting change, and the start of the zaffa are all synchronised, and any error there stays in the photographs.

The mistake that repeats most

Leaving the full test to the night itself. In venues we work in regularly we know the power, the ceiling and the cable runs; a new venue needs a real test at least two hours ahead, with the full crew rather than one person.

Put one person, and only one, in charge of talking to suppliers on the night. When five people call the same supplier with different instructions, it ends in the wrong decision.
