Wedding Setup: Venue Access and Installation Checklist

Choosing the kosha is only one part of wedding preparation. Venue access, delivery routes and installation approval also need to be agreed. Obtain the following information from the venue and share it with the setup team before the event.
Separate the event times
Record when the installation team may enter, when the setup needs to be complete, when guests arrive and when the venue must be cleared. A hall booking does not automatically include early installation access. If another event uses the room before or after yours, ask the venue to confirm the available setup and removal window.
Check the delivery route
Identify the loading entrance and route to the room. Mention steps, lifts or restrictions on the size of pieces that can pass through. Photographs are useful when access is indirect. Share loading parking arrangements, permitted delivery times and any entry procedure required by the venue. These details help assess whether the chosen design suits the location.
Confirm the permitted layout
Send the floor plan if available and mark the kosha, bridal walkway and guest tables. Check the venue’s rules on fixing, hanging decorations and electrical access, together with any restrictions on flowers, candles or other decor. An element shown in a previous photograph is not automatically permitted at your venue; confirm it with the venue management.
Choose a contact person
Nominate one family contact to bring feedback together and identify the venue representative available during installation. Share changes to the layout or access time before the event and ask the team to acknowledge them. Conflicting instructions during installation can delay approval of the arrangement.
Review the written scope
Before confirming the request, check the quotation’s transport, installation and removal items and any additional venue-related work. Include the city, area and venue name for your event in Dubai, Sharjah, Ajman or Ras Al Khaimah. Installation time depends on the design and location; agree the schedule rather than assuming a fixed duration.
Send a practical summary
“Venue …, city and area …, loading entrance …, installation access …, required completion time …, guest arrival …, removal and clearance deadline …, venue contact ….” Complete any missing information with the venue. If the design is still undecided, attach photographs of the kosha you like and the available space to your quotation request.
