Rent or Buy Your Event Setup? A Practical Calculation

United Arab Emirates 🇦🇪 — elegant and practical event planning inspiration.

تأجير أم شراء تجهيزات المناسبة؟ حساب عملي قبل القرار

The question comes up with every family that holds more than one occasion a year: why pay rent each time instead of buying? The answer does not come from comparing the two prices, but from three figures most people overlook.

First, storage. Chairs, tables and a kosha need covered, dry space. In the UAE climate, poor storage ruins fabric and wood within a single season. Count the value of the space it will occupy all year, not on the night.

Second, transport and setup. Buying solves ownership, not service. Every time, you will still need someone to deliver, install and dismantle — and that is the larger part of what a rental costs in the first place.

Third, obsolescence. Kosha designs change faster than a buyer expects. The one you buy today looks familiar by its third outing, and the furniture repeats across the same family's photographs.

The working rule we use: anything consumed or style-dependent — fabrics, flowers, koshas, decorative lighting — is rented. Anything used repeatedly in the same form and unaffected by fashion — a plain wooden table, a storage box, a water cooler — can be bought if you have somewhere to keep it.

There is a third case people overlook: shared purchase across an extended family with occasions close together. It works when it is agreed in advance who stores, who transports and who repairs; it fails when that is left to custom.

Before deciding, ask how many occasions you genuinely have in the next two years. Fewer than three rarely justifies buying.

**The calculation in your own numbers**

Add three figures: the purchase price, the annual storage cost, and the transport-and-setup cost per occasion. Compare the two-year total against what you would have paid in rent for those same occasions. Do not compare the purchase price against a single rental — that comparison is what leads to a purchase that goes unused.

**What loses value fastest**

Fabrics and drapes, because humidity and dust reach them. Koshas, because their designs are seasonal. Decorative lighting, because its technology moves. Plain tables and chairs age slowest, which is why they are the one item where buying makes sense for anyone with somewhere to keep them.

**Two questions before buying**

Where exactly will it be stored — a specific place, not "we have space"? And who cleans and repairs it after each occasion? No clear answer to either means the piece will be used once or twice and then simply remain.

**A practical middle path**

Rent everything, and buy what genuinely repeats once you have seen it repeat — not before. After three occasions you will know which piece you asked for every time, and the purchase becomes a decision based on real use rather than expectation.
