Setting Up a Condolence Majlis: What to Arrange at Short Notice

A condolence majlis is usually arranged within hours, at a time when nobody in the family is able to think about details. This page is meant to be a clear list a relative can act on for them.
Space and seating
A majlis receives varying numbers over long hours, and not everyone sits at once. The working rule: seating for between a third and a half of the expected peak, with room to stand and pass.
Arrange chairs in facing rows or a U shape so that whoever enters sees the family directly and can go to them without searching.
The entrance and the route in
Leave a clear path from the door to where the family sits. A visitor enters, offers condolences, then sits — any confusion in the route creates congestion at the door.
Set aside a place for shoes near the entrance if the majlis is carpeted, and a separate area for cars if the street is narrow.
Lighting and sound
Lighting should be steady, quiet and sufficient to see — no colour, no movement, nothing aimed at faces.
If there is a reciter or a microphone, set the level so it carries to the edges without being loud near those seated at the front. One well-placed unit is better than several turned up.
Hospitality
The usual provision is Arabic coffee, dates and water, served continuously through the receiving hours rather than in rounds.
Allow one server per twenty-five to thirty people so a round completes in reasonable time, and set aside a back area for preparation away from where people are received.
A tent when the majlis is too small
When numbers exceed the house, a tent is set up in the yard or in front of it. What to confirm: cooling if the weather is hot, steady lighting, level ground, and a clear path between the tent and the house.
In the hot months cooling is not a luxury — the receiving period is long and people sit through it.
How long the receiving lasts
Receiving usually continues for three days, in morning and evening periods. Agree installation and takedown times so that neither coincides with a receiving period.
