The event ends, everyone leaves, and one item was never discussed: who dismantles all of this, when, and at whose cost? That item is the source of most financial disputes afterwards, and all of it can be settled in five minutes before signing.

Clear-out time is not the time the event ends

The venue gives you a window to clear the space, usually an hour or two after the event ends. Dismantling a medium kosha takes two to three hours.

Add those two numbers before you book. If the venue allows takedown the next morning, that changes both the cost and the designs that are possible — ask specifically.

Write down who pays the overrun penalty

Venues charge for late clear-out, and the charge falls on whoever booked the venue — you — even when the delay was the setup team's.

Write into the quote who carries it. One sentence settles an expensive argument at three in the morning when everyone is tired.

Inspect before you leave, not the next day

Before leaving, walk the hall with someone from the venue and someone from the setup team and check: the floor under the bases, the walls where pieces leaned, sockets and cabling, and any furniture that was moved.

Damage discovered the next day is hard to attribute and becomes one word against another. Photograph what you find, on the spot.

Things always left behind

Gifts, leftover cake, the bridal bouquet, the envelope box, name cards and the guest book. Assign one named person from the family to collect them — "someone will take them" means nobody will.

Flowers: decide before, not after

Flowers are usually thrown away afterwards because nobody decided. Decide in advance: given to guests as they leave, taken home, or left to the team.

Handing them out at departure needs a small arrangement — who hands them over and where they stand — otherwise it will not happen.

Deposits and security

If the venue took a security deposit, ask when it is returned and what delays it. If the setup uses rented equipment, know who counts it, who returns it and who signs for it.
