Choosing a Venue: The Questions to Ask Before Signing

The venue is usually booked first, and every later decision is built on it. Because the contract is signed early and with enthusiasm, questions get skipped whose importance only becomes clear two months later. They have nothing to do with how the hall looks — they are about what it permits.
Ask about access time before you ask the price
This is the most important question and almost nobody starts with it. How many hours before the event may the setup team enter?
A venue allowing only two hours decides your design in advance regardless of budget — a medium kosha needs four to six. A venue allowing access the night before opens far wider options at the same price.
Ask about clear-out time too, the penalty for overrunning, and who carries it.
Outside suppliers: allowed or restricted
Some venues require their own suppliers for catering, lighting or setup. Some allow outside suppliers for a fee. Some forbid it entirely.
Ask plainly: may I bring an outside supplier, is there a fee, and does any restriction cover catering, setup, or both? Discovering this late cancels whole plans.
Power and the kitchen are not details
Ask how many power points there are, their capacity and where they sit. Lighting and sound draw more than older venues expect.
Ask about the kitchen: is there preparation and heating space, and may an outside catering team use it? A venue without a usable kitchen limits you to food delivered hot and ready.
Parking is counted in cars, not guests
The working rule: one car per three or four guests at family events. Two hundred guests means fifty to seventy cars.
Ask how many spaces belong to the hall itself — not the whole complex — and whether another event that night shares them. An evening where guests park a ten-minute walk away starts badly before anyone is inside.
Ask to see the hall at the same hour
A venue visited at midday looks nothing like itself at ten at night. Lighting, noise, temperature and parking all change.
If possible, ask to see it during another event, even ten minutes from outside. You will see the real parking, the arrival flow and the permitted sound level.
Clauses written, not spoken
Hours included and the price of an extra hour · what happens on postponement · whether existing furniture is removed and by whom · sound limits and the cut-off time · and whether photography is permitted everywhere.

اسأل عن وقت الدخول قبل أن تسأل عن السعر
هذا أهم سؤال ولا يكاد أحد يبدأ به. كم ساعة قبل المناسبة يُسمح لفريق التجهيز بالدخول؟
القاعة التي تسمح بساعتين فقط تحدّد تصميمك سلفًا مهما كانت ميزانيتك — الكوش المتوسطة تحتاج من أربع إلى ست ساعات. والقاعة التي تسمح بالدخول من الليلة السابقة تفتح خيارات أوسع بكثير وبنفس السعر.
واسأل عن وقت الإخلاء أيضًا، وعن الغرامة إن تأخّر، وعلى من تقع.
المورّد الخارجي: مسموح أم محصور
بعض القاعات تُلزمك بمورّديها في الضيافة أو الإضاءة أو التجهيز. وبعضها يسمح بالخارجي مقابل رسم. وبعضها يمنع تمامًا.
اسأل صراحة: هل أستطيع إحضار مجهّز من الخارج؟ وهل هناك رسم؟ وهل يشمل المنع الضيافة أم التجهيز فقط؟ الاكتشاف المتأخر لهذا البند يلغي خططًا كاملة.
الكهرباء والمطبخ ليسا تفصيلًا
اسأل عن عدد نقاط الكهرباء وقدرتها وأين تقع. الإضاءة والصوت يسحبان أكثر مما تتوقّع القاعات القديمة.
واسأل عن المطبخ: هل فيه مساحة تحضير وتسخين؟ وهل يُسمح لفريق ضيافة خارجي باستخدامه؟ القاعة بلا مطبخ صالح تحصر خياراتك في ضيافة جاهزة تُنقل ساخنة.
المواقف تُحسب بعدد السيارات لا بعدد الضيوف
القاعدة العملية: سيارة لكل ثلاثة إلى أربعة ضيوف في مناسبات العائلات. مئتا ضيف يعني خمسين إلى سبعين سيارة.
اسأل كم موقفًا للقاعة وحدها — لا للمجمّع كله — وهل هناك مناسبة أخرى في نفس الليلة تتشارك المواقف معك. الليلة التي يقف فيها الضيوف على بعد عشر دقائق مشيًا تبدأ سيئة قبل أن يدخل أحد.
اطلب رؤية القاعة في نفس التوقيت
قاعة تُزار ظهرًا تبدو مختلفة تمامًا عن نفسها العاشرة مساءً. الإضاءة والأصوات والحرارة والمواقف كلها تتغيّر.
إن أمكن، اطلب زيارتها أثناء مناسبة أخرى — ولو لعشر دقائق من الخارج. سترى المواقف الحقيقية، وحركة الدخول، ومستوى الصوت المسموح.
بنود تُكتب لا تُقال
عدد الساعات المشمولة وسعر الساعة الإضافية · ما الذي يحدث عند التأجيل · هل الأثاث الموجود يُزال أم يبقى ومن يزيله · حدود الصوت ووقت إطفائه · وهل التصوير مسموح في كل المساحات.
